Executive Assistant

Responsibilities
- Executive Support
- Provide high-level administrative support to the CEO and COO.
- Prepare meeting agendas, take notes, and track action items to ensure timely follow-up.
- Assist in the preparation of reports, presentations, and correspondence.
- Certificates of Insurance Management
- Request, track, and maintain Certificates of Insurance (COIs) for all necessary events, vendors, and venues.
- Ensure COIs are up-to-date, accurate, and compliant with organizational requirements.
- Contract Management
- Organize, maintain, and track contracts and agreements across departments.
- Assist in reviewing contracts for completeness and alert leadership to key deadlines.
- Communication and Office Support
- Manage general organizational email inboxes and respond to inquiries professionally and timely.
- Answer and direct incoming phone calls with a high level of customer service and care.
- Serve as a point of contact for internal staff, athletes, volunteers, and community partners.
- Technology and Systems Support
- Act as an internal expert for key organizational tools, including:
- Monday.com (project management)
- My Policies (policy management)
- Troubleshoot system issues, support training of staff, and help optimize platform use.

- Special Projects and Event Support
- Assist leadership with administrative tasks for organizational events and initiatives as needed.
- Take on additional projects to support SONH’s strategic goals.
Qualifications
- 3–5 years of experience as an Executive Assistant or similar administrative support role, preferably supporting senior leadership.
- Outstanding organizational skills, attention to detail, and ability to manage multiple priorities effectively.
- Strong written and verbal communication skills.
- Ability to handle sensitive information with a high degree of discretion and professionalism.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook
). - Experience or willingness to learn Monday.com, My Policies, and other specialized systems.

- Nonprofit experience is a plus, but not required.
- Driver’s license

- Salary range commensurate with experience.
